OVATION ACADEMY POLICIES 

 

Registration

All of our classes, Broadway Academy shows, and camps are available for online purchase through Jackrabbit. You will receive an email confirmation following your processed registration. This email is your receipt and confirms that you are registered for the class, show or camp. Should you, for any reason, not receive an email confirmation for your class registration, please contact us at  (708) 222-7564 and we’ll get you all squared away!

With Jackrabbit, you will not be immediately charged upon registration unless you choose to process the payment on your own. If you have questions about discounts or payment plans, please communicate with us prior to completing your payment. Otherwise, an Ovation staff member will process your full payment within 24 hours of registration. 

 

Payment Plans & Financial Assistance

At Ovation, we strive to ensure that every family has access to our programs. Please review the following options to learn about ways to save.

  • Payment Plans
    If you would like to set up a payment plan, please indicate that on your registration form or email Corinne Neal at corinne@ovationacademy.org. Payment plans can be set up however it is most convenient for you, but a 25% deposit is required up front, and the balance must be paid in full two weeks before the session or program ends.  
  • High School Work Study
    If you are currently in high school and are in need of financial assistance for any Ovation programming, consider applying for our work study program. Up to 50% of your tuition will be covered in exchange for helping out in the Ovation front office. To apply, send an email to Corinne Neal at corinne@ovationacademy.org letting us know which class or production you are hoping to enroll in and your availability to help out.
  • Scholarships 
    Ovation offers a limited number of need-based scholarships; learn more and apply here. Oak Park Township also offers scholarships to residents of Oak Park or River Forest who request assistance with payment at Ovation.     Discounts

    The following discounts are currently available; discounts are subject to change.

    • Multi-Student Discount
      Families with 2 or more students enrolled in Ovation classes and camps save 10%. Discount is automatically applied on enrollment; cannot be combined with other discounts. Discount is available for classes and camps ONLY; does not apply to Broadway Academy or Encore productions.  
    • Multi-Class Discount
      Individual students enrolled in 2 or more Ovation programs in the same session save 10%. Discount is automatically applied on enrollment; cannot be combined with other discounts.

    Cancellation & Exchange Policies 


Broadway Academy Shows and Summer Camps:

If cancellation occurs 30 days or more prior to your first rehearsal or first day of camp, you may receive a refund or account credit, less a $25 class cancellation fee.

If cancellation occurs less than 30 days prior to your first rehearsal or first day of camp, Ovation will gladly assist in moving your student to another class, or credit your account for the tuition less a $50 cancellation fee.  No refunds will be issued. If on a payment plan, the full tuition amount will be charged, then credited to your account less a $50 cancellation fee.

Shows/camps may be exchanged within the same session, up until the start date of the program. If a show/camp is exchanged at least two weeks before the start date, account credit will be provided for tuition differences on moving to a less expensive program. Shows/camps exchanged less than two weeks prior to the start date will not result in credit for a difference in tuition. Moving to a more expensive program will result in an account charge to cover the difference.

No credits or refunds will be issued if a program is dropped after 2 or more rehearsals or camp days have occurred, regardless of whether the student has been in attendance.

Registration holds a student’s spot in a show or camp, making it unavailable for other students to register for that spot. We hope your show/camp is a great fit, but if, after the first day, you choose not to continue for any reason, Ovation Academy is happy to switch you into another available offering within the same session. Refunds are not applicable.

 

Classes:

If cancellation occurs at least 7 days prior to your first day of class, Ovation will refund or credit your account in Jackrabbit, less a $25 cancellation fee

If cancellation occurs within 7 days of your first scheduled class, Ovation Academy will gladly assist moving your student to another class to experience success; no refund or credit will be issued.  In all cases, you will still be charged the remainder of the payment plan, if applicable.

Refund Policy

Ovation prides itself on hiring the best instructors in the industry to teach our classes and lead our productions and camps. To cover the cost of compensating staff and keeping our space in great shape for your kids, we must have a minimum number of students enrolled. Late cancellations jeopardize our ability to offer a class, and impact all other enrolled families as well as our instructors. For these reasons, refunds are only offered under the rarest of circumstances and late cancellations are strongly discouraged. We appreciate the understanding of our families and are happy to discuss our policies further at any time.

 

Code of Conduct 

In order to provide students with a safe and supportive environment, we do not tolerate any form of physical or verbal abuse, harassment, vandalism, inappropriate behavior or the use of any illegal substances. Any behaviors found in violation of this policy will be addressed and the student may be asked to leave. No refunds or credits will be issued in the event that the Code of Conduct is violated.

 

Photo Policy

We love our students, our teachers and the magic that takes place at Ovation every day. As a result, we want to share this incredible work, the daily triumphs, and encourage more students like you to come discover the power of the performing arts. When taking a class at Ovation Academy, you agree that Ovation Academy and its authorized representatives have permission to take photos or videos of your kids in classes, workshops, productions and events. Any photos or videos made through this agreement may be used, in any form, as part of any future publications, brochures, or other digital and printed materials used to promote Ovation Academy for the Performing Arts. Such use shall be without payment of fees, royalties, special credit or other compensation.

 

Pick Up And Drop Off

Instructors will typically be onsite at least 15 minutes before any program is scheduled to start. Please do NOT drop your student off before that time as the doors will be locked and staff might not be present. While the coronavirus pandemic persists, everyone entering the building must be wearing a mask covering both nose and mouth.

Your student must be picked up within 15 minutes of any program ending. If you are more than 15 minutes late picking up your child, a $20 late fee will be charged to your account. Should this occur more than once in a session, a phonecall will be made to ensure timely pickup in the future.

 

No-Nut Policy

To ensure the safety of all of our students, we have a strict no-nut policy for both peanuts and tree-nuts (including hazelnut products such as Nutella). Please be careful when packing snacks or lunches for your child that no nuts or nut products are included.

 

Electronic Device Policy

Students under Grade 9 are only permitted to use phones or other electronic devices in class as an educational tool as assigned by their teacher/instructor. To encourage our value of community and relationship building, electronics are not allowed during breaks. Students are always welcome to contact their families through the Ovation office at any time.

 

Medical Emergency Policy

While some of the Ovation staff is trained in First Aid and CPR, we do not have a medical professional on the premises. Students are welcome to carry their medicine on them, but our office is not able to administer medicine of any kind (including prescription and over the counter drugs or topical ointments). In life threatening situations, we are trained to administer an epi-pen. In the case of a medical emergency, if we are unable to contact a parent/guardian or if time does not permit, 911 services will be used. All expenses incurred are the responsibility of the impacted student’s parent or legal guardian.

 

Privacy Policy

We will never sell or share your information with anyone outside of Ovation Academy for the Performing Arts without your permission. We hate spam as much as you do! We may share your contact information directly with an instructor if you’ve registered for a class so they can contact you with weekly assignments and class updates. All of our email marketing communications are powered by MailChimp or Constant Contact and have clear unsubscribe instructions. Your privacy is important to us.
